Monthly bookkeeping & close
Every bank, credit card, and loan account categorized and reconciled monthly; payables and receivables aged; a monthly close with profit and loss and balance sheet delivered on a fixed schedule.
Every transaction categorized, every account reconciled, the month closed on schedule, and a year-end file the CPA can prepare the return from directly.
The work
Every bank, credit card, and loan account categorized and reconciled monthly; payables and receivables aged; a monthly close with profit and loss and balance sheet delivered on a fixed schedule.
The specialty: commission disbursements and splits on a fixed schedule, escrow and transaction accounting, agent 1099s, and books that reconcile to the brokerage's own back-office system.
Payroll runs through your payroll provider, which prepares and files the tax forms. KMB coordinates each run and books wages, withholding, and employer taxes to the ledger, so the provider's reports and the books agree.
Funds held on behalf of others — trust accounts, escrow, retainers, deposits — recorded as liabilities, with monthly three-way reconciliation: bank statement, ledger, and individual client balances in agreement.
Vendor invoices coded and scheduled for approval, payments tracked, and vendor records maintained with W-9s collected before the first payment — keeping spending visible by category all year.
1099-NECs issued by January 31 from vendor records maintained throughout the year, and a complete, reconciled year-end file prepared for the CPA.
The rhythm
| When | What |
|---|---|
| Weekly | Transactions categorized, deposits matched, bills queued for approval. |
| Each pay run | Payroll coordinated with the provider; wages, withholding, and employer taxes booked to the ledger. |
| Monthly | Every account reconciled, receivables aged, books closed — with reporting delivered in time to inform decisions: profit and loss against budget, balance sheet, and cash position. |
| Quarterly & year-end | The payroll provider's filings reconciled to the books; 1099-NECs issued by January 31; a complete year-end file prepared for the CPA. |
How the engagement runs
Independent record-keeping separates collection, deposit, and recording — a basic internal control most small businesses simply do not have, because the same person does all three. When the person handling the money is not the person recording it, errors surface instead of compounding, and the books stop depending on one person's memory.
Clients work directly with the principal. The books are not handed to a processing team, and nobody has to re-explain the business to someone new in March.
KMB works in the systems the business already uses — accounting package, brokerage back-office system, point of sale. No migration is required to begin, and changing software is never a condition of working together.
The work is performed remotely through your existing systems, for businesses throughout Rhode Island. Where you sit in the state changes neither the service nor the price.
Engagements are quoted as a flat monthly retainer after a review of the current file. Cleanup work, where required, is scoped and priced separately, so the cost is known before it starts. What drives the price.
Who we work with
Commission disbursement runs on a fixed schedule, per-agent split and cap tracking, escrow reconciled apart from operating, and every agent 1099 ready in December rather than assembled in January.
Brokerage bookkeepingThe same monthly work whatever the trade, with particular depth where the bookkeeping hides obligations — practices holding client funds, and landlords with mortgages, deposits, and improvements that get booked wrong.
Small business bookkeepingA short call to look at where your books stand and whether we're the right fit. No pitch, no pressure.
